Solution · Manual work

Reduce manual work without losing control.

To reduce manual data entry and repetitive work, find the tasks that only move information — re-typing, copying between systems, chasing status updates — and remove them. Manual work isn't always bad; it becomes a problem when the same data is entered twice, approvals stall, or a process depends on someone remembering a workaround.

Signs

Signs the process needs attention

  • The same information is entered in more than one place.
  • Team members chase status updates by email, text or spreadsheet.
  • A routine task depends on one person knowing the workaround.
  • Exceptions are handled differently every time.
  • Errors are discovered by customers, not by the process.

A better starting point

Map it, simplify it, then automate it

01

Map

Follow one request from start to finish and write down every step.

02

Mark

Which steps add value, which only move information, which need a person?

03

Remove

Cut or connect the information-moving steps — automate only what's left.

This is the same sequence we use when we remove operational bottlenecks — manual work and waiting time usually live in the same places.

FAQ

Questions, answered.

How do I stop double data entry between systems?

Decide which system owns each piece of information, then connect the others to it — through native integrations, an integration platform or an API — so data is entered once and flows automatically. Sometimes the better answer is consolidating to fewer systems.

Should we replace our spreadsheets?

Spreadsheets are great for analysis but risky as a system of record. If several people edit the same sheet to run orders, inventory or scheduling, it's usually time for a proper tool.

Which tasks should stay manual?

Judgment calls, exceptions and anything that builds a customer relationship. The goal is to remove the copying and chasing around those moments, not the moments themselves.
